Improved occupational safety with Microsoft technologies

Task and problem

To improve unsafe behavior and observed hazards reporting. 

Company had near miss and hazards reporting process but it did not work as expected. Employees did not do enough reports because it was inconvenient. Also safety officer needed to spend a lot of time for processing these reports.

Our task was to make reporting simple and easy in order to achieve following:

  • it would be convenient for employees to report;
  • reporting would be immediately spread through involved persons in order  to fix the issues ASAP;
  • reported data would be possible to analyze for to make preventive actions
  • remove manual work for preparing safety reports.

Mobile application for reporting

Using Microsoft PowerApps, we created mobile application for near-misses and hazards reporting. Now all engineers who owns Office 365 license can access this app and easily can report. They just need to open the app, to choose Near-Miss \ Hazard registration and fill necessary information on a form. Also they are able to attach photos.

When the form is filled and save button clicked, all the information are immediately registered onto excel sheet in OneDrive for the later analysis, also information are sent to involved persons by email with all necessary information and photos attached, that they would be able to fix it as soon as possible.

Analysis and reporting

Then we took Microsoft analytic tool Power BI and connected data source stored on excel sheet with all near-misses and hazards registrations and developed detail reports and chars.

On “Accident Report” sheet safety manager are able to see all the basic safety information concerning lost time injuries and hazards observations.

Next one sheet shows brief analysis of near-miss and hazards reporting. Here safety manager can see all the reports with all the information. He can filter according priority and risks. He can check what was common risk reported and immediately develop preventive actions to it. Also he is able to evaluate historically values monthly and places where it was reported on a map.

Still this is not all. Safety manager does not need to spend more time for collecting data in order to prepare monthly / yearly safety report to the management. Now the report is available with one click for any time and any period.
